Every rental starts as a booking record — customer, vehicle, dates and payment — and stays a single source of truth from pickup through return and, if needed, refund.
A booking captures the customer and phone number, the vehicle and its registration, pickup and return dates, the rate type and units it’s billed against, and whether a driver is included (and who). Payment is tracked as total, advance paid and security deposit, against the customer’s chosen payment method — with a branded booking voucher generated for the customer.
When a booking is refunded, the record shows refund status, refunded amount, refund method and the date it was processed. A cancellation fine, if one applies, is tracked separately and marked as retained — so the financial trail for a cancelled booking is as clear as a completed one.
